Position Summary

This role provides administrative support to the CEO, manages day-to-day office operations, and supports basic marketing execution, including social media management. It combines three related functions — administrative support, office management, and marketing support — into one accountable seat, reducing coordination overhead and freeing up the CEO's time for higher-value work. The right hire is organized, dependable, and comfortable owning tasks and follow-through with minimal oversight.

Core Responsibilities

Administrative Support to the CEO

•    Own and proactively manage the CEO's calendar, travel, and meeting logistics — anticipate conflicts before they occur, not after.

•    Triage and draft responses to CEO correspondence (email, mail, and internal requests); flag only what genuinely requires his judgment.

•    Prepare, format, and proofread business updates, internal memos, and external correspondence to a polished, error-free standard.

•    Coordinate cross-functional meetings with Ferche leadership and Hoffmann Family of Companies stakeholders, including agendas and follow-up tracking.

•    Manage confidential information (HR and personnel records, company documents) with discretion and sound judgment.

Office Management

•    Own day-to-day office operations at the Rice, MN facility: supplies, vendor relationships, equipment, and facilities issues —resolved without escalation to the CEO whenever possible.

•    Manage front-office coverage, visitor experience, and general company inquiries.

•    Plan and execute internal events, employee recognition activities (e.g., anniversary and milestone celebrations), and company meetings.

•    Maintain office administrative systems (filing, records retention, supply budgets) and identify opportunities to streamline them.

Marketing & Communications Support

•    Execute Ferche's social media calendar — content creation, scheduling, and posting across company platforms.

•    Support new product launches, sales collateral, and marketing one-pagers in coordination with the sales and leadership team.

•    Maintain brand consistency (logo usage, color, typography) across all internal and external materials per company brand standards.

•    Draft internal communications, newsletters, and announcements on behalf of the CEO.

•    Track basic engagement metrics on marketing activity and report results — not just activity, but what's working.

Documentation & Correspondence

•    Draft, format, and finalize letters, memos, policy documents, and reports as directed by the CEO.

•    Maintain templates and document standards so materials produced by any team member are consistent.

•    Support HR and operational documentation (handbooks, policy updates, incentive plan materials) in coordination with HRand Finance.

Required Qualifications & Skills

Experience & Education

•    2–4+ years in an Administrative Assistant, Office Manager, or equivalent hybrid administrative/marketing role, ideally in a manufacturing or industrial environment.

•    Associate's or equivalent experience.

Technical Skills

•    Advanced Microsoft Office proficiency — Word, Excel, PowerPoint, Outlook — including mail merge, formatting complex documents, and building presentation decks.

•    Working knowledge of social media platforms (Facebook, Instagram, LinkedIn) and basic content/design tools (Canva or similar).

•    Comfortable learning company-specific tools (ERP, quoting systems, HR/payroll platforms) as needed.

Core Competencies

•    Excellent written communication — this role drafts on the CEO's behalf and must match his voice and standards.

•    High discretion and judgment with confidential and sensitive information.

•    Strong prioritization skills — able to triage competing demands from the CEO, office operations, and marketing without dropping any.

•    Self-directed and comfortable owning outcomes with minimal oversight once expectations are set.

Compensation

$50,000–$55,000 annually, based on experience, plus a full benefits package
